01The problem

When Every Bid Starts from Scratch

When a leading UK construction company came to Agency AI, their admin team was spending days refining local authority bid questionnaires that never quite sounded like the same company. Different writers had different styles, valuable feedback from past submissions was scattered across folders, and company values weren’t consistently reflected in the final copy.

Bids took weeks to assemble, each one reinventing the wheel, with no reliable way to ensure hard-won lessons were actually applied to the next submission.

02What we built

A Second Pair of Eyes That Has Read Every Past Bid

We built an AI assistant that drafts from the company’s own material: past submissions, the feedback they received, and the policies every answer has to reflect. It does not write the bid for them. It produces a first draft in their voice, flags wording that does not match how the company talks about itself, points to the answers that worked before, and highlights the gaps while there is still time to fill them.

03The results

Stronger First Drafts in Minutes

First drafts now take minutes rather than hours, and every submission reads as the same company whoever wrote it. Each suggestion is linked back to the source it came from, so a writer can see why a piece of wording is being challenged and decide for themselves.

Bid writing time fell by 90%. The knowledge in past submissions now reaches the next bid instead of sitting in a folder, and the team can respond to more opportunities without adding people.
