01The problem

When the Answer Is Buried in Hundreds of Documents

Procurement in construction runs on paperwork. Delivery notes, invoices and credit notes arrive in every format a supplier can produce: PDFs, spreadsheets, photographed printouts. A single project generates hundreds of them.

Until every one of them has been read and added up, nobody can say what was ordered, what actually arrived, what it cost, or how that compares with what was budgeted. The gap between the paperwork arriving and the numbers being usable is where errors and disputes take hold.

02What we built

Hundreds of Documents In, One Complete Picture Out

We built a custom AI agent for a construction customer. Hundreds of documents are uploaded in one go, in whatever format they arrived in. The agent works out what each one is, reads it, matches it against the company’s own records and turns it into a structured record, with the original kept attached so every figure can be traced back to the document it came from.

Then it totals them. Delivered against invoiced, invoiced against credited, the whole batch against the budget, so the business gets a complete view of where it stands on a project instead of a folder of documents to work through.

03The results

A Batch of Paperwork, Totalled in Minutes

Reading a document and matching it against the company’s records takes under five seconds, where it used to take about five minutes. An upload of hundreds becomes a set of totals within minutes rather than days. Nobody keys anything in, and the question that used to mean an afternoon in a filing system, what have we actually spent on this job, is answered from a live report that links back to every document behind it.
